If your company runs a fleet of vehicles then it is important to have a fleet policy in place. This lays out all the expectations that you have of your drivers, and the things that the drivers can expect from you in certain situations.

A fleet policy itself won’t stop your drivers having accidents, however it will help you deal with them more efficiently.

Here are 5 points that we think your fleet policy should include;

 1. Vehicle maintenance
Regular maintenacne is imperative for ensuring that your vehicles remain in a roadworthy condition. Your fleet policy should include details of who is repsonsible for the daily, weekly, 6-weekly checks. And furthermore what those checks should include.
2. Driver details
Your fleet policy should explain that you have a duty of care to collect and hold details of the drivers license, as well as any medical conditions that could affect their ability to drive safely.
These details should be renewed, at least annually.
3. Private usage of company vehicles
Your vehicles could incur HMRC interest and fines of they are used for private mileage when they shouldn’t be. Therefore it is imperative that your policy includes details of what journeys are and are not allowed in the company vehicle.
4. Accidents
It is important to include a section on what should happen in the event of an accident. Who needs to report the incident, who should the incident be reported to, and what details need to be recorded.
5. Injuries
You would hope that the instilling of a fleet policy would stop any injuries, however it is possible that they will occur. It is the same as accidents – you need a clear defined process of reporting. As an employer you have a duty of care to keep your staff safe. Companies based in the UK have to observe the legal requirements as stated in the Corporate Manslaughter Act
