Job Allocation and Booking
Our system allows you to create jobs in a back office web application to allocate to your drivers. This can either be done manually by your office staff using a simple job booking screen or done automatically by uploading jobs from another computer system.
Booking Screen
As we know all customers have different requirements as to what job booking information they need, our booking screen will be tailor made to your specific requirements. These will typically include site address, customer details, time engineer is due to visit, description of the job, time frame allocated for visit but again, we will gather what information is important to your business and include these in the template.
Proof of Delivery
The system will provide online proof of delivery and tracking allowing your customers and back office staff to know the current status of all consignments being delivered. There is no longer a need to wait until the end of the day to find out when something has been delivered with immediate image capture and signature capture allowing constant communication between your back office
and front line staff. You can create jobs, allocate them, view job lists, review job details, see current status of all jobs, capture names, signatures and images and then send completed jobs back to head office.
Hardware
The PDA system can be used on any mobile device that runs the Android operating system, meaning that you can use the system without the need to upgrade existing hardware in most cases.
GPS Tracking
The PDA system relays its GPS location at times specified by the customer depending on your requirements. This can be anywhere between 2 minutes down to 30 seconds. This will give a real time position of your operatives along with a snail trail of their movements. The GPS tracking also provides locations for where the operative has signed a job off giving you easily accessible audit trails.
Auto Email Facility
For an additional cost, we offer the ability for the PDA system to email your customers direct with a PDF version of your specified job sheets and paperwork it also comes complete with your company logo. This eliminates the scenario of out dated paper copies that are easily misplaced.
Reporting
The PDA system can be linked with an in-vehicle tracker providing a whole host of reports that can be analysed by customer, driver, depot etc. All this information can be exported in excel format for your convenience.
Vehicle Reminders & Check Lists
With access to our online storage facility you can easily set reminders regarding tax, M.O.T and servicing for each vehicle which will notify you in advance when these are due. You can also store copies of documents for each vehicle. Another feature of our system is the ability to create checklists for drivers to fill in detailing the vehicles current condition such as tyre condition, vehicle wear and tear, cab condition etc. However our system is intelligent in a way that you will only be notified if the driver marks down a fault, this is good as it causes less confusion.
